Administrative Project Assistant

Job description

We are looking for an Administrative Project Assistant for an international and well-known industrial company with a focus on clean energy.


You will be supporting 2 senior leaders:

  • Their Chief Information Officer
  • Their Global Head of Corporate Development

These leaders recently joined the company and are in need for a sharp, inquisitive, and very pro-active assistant who can support them in their day-to-day agenda management and business travel.

As these leaders report to the Group CFO you will be working very closely with the Executive Assistant of the Group CFO as well as his Chief of Staff.  The three of you will be representing global finance internally and externally. You will also offer support to finance team members when needed.


This role involves working closely with senior level executives, handling various tasks to streamline their work and communications. As an individual contributor, you will provide personalized assistance, ensuring smooth operations and effective communication.

The company is looking for a person who is proactive, detail-oriented, and who possesses exceptional organizational and communication skills.

On top, you have no reluctance to be taken out of your comfort zone and try new applications, tools or solutions and you like to help others.

Your responsibilities include, but are not limited to:

  • Managing schedules and correspondence
  • Organizing meetings and maintaining confidentiality
  • Meeting room management
  • International travel arrangements.
  • Act as the point of contact for internal and external visitors.
  • Assist in arranging team events, e.g.: digital town hall meetings, team drinks, …
  • Offer assistance in project management.
